Expenses vs Income Report | CRM Profitability Analysis

Compare total income and expenses month by month. View annual trends, identify profitable periods, and base decisions on your base currency data.

The Expenses vs Income Report provides a monthly comparison of your total income and total expenses over a selected year (in the example: 2026). It helps you quickly assess profitability, identify months with positive or negative cash flow, and track annual trends.

Important Note

Amount is displayed in your base currency – Only use this report if you are using 1 currency for payments and expenses.
If your system handles multiple currencies, you should convert all transactions to a single base currency before using this report; otherwise, the comparison may be inaccurate.

How the Chart is Displayed

  • The report is typically presented as a line chart or bar chart with two colored lines/bars.
  • Income is usually shown in one color (e.g., green or blue).
  • Expenses are shown in another color (e.g., red or orange).
  • Hover over any point on the chart to see the exact amount for that month.

How to Use the Report

  1. Navigate to Reports → Expenses vs Income (or a similar menu item).
  2. Select the year (if a year selector is provided – in the example, 2026 is shown).
  3. Read the base currency note to ensure you are interpreting figures correctly.
  4. Analyze the chart:
    • Compare income vs expenses each month.
    • Look for months where income exceeds expenses (profit) and vice versa (loss).
    • Identify seasonal trends or unusual spikes.
  5. Use the information for budgeting, forecasting, or management decisions.

Common Insights

  • Profit months – when the income line is above the expenses line.
  • Loss months – when expenses are higher than income.
  • Break-even months – when the two lines intersect.
  • Year‑to‑date trends – see whether overall profitability improves or worsens over the year.

Limitations & Warnings

  • Only one currency: This report does not convert multiple currencies automatically. If you use different currencies for income and expenses, convert them to the base currency manually or use a different report.
  • Data completeness: Only income and expenses that have been correctly categorized and entered in the CRM are included.

Tips

  • Use this report together with the Detailed Expenses Report and Sales Report to drill down into the numbers.
  • Export the chart or underlying data (if export buttons are provided) for presentations.
  • If you see unexpected results, verify that all income and expense records are assigned to the correct months.
